Terms and Conditions
Cancellation Policy:
- Warwick Schools Foundation reserves the right to cancel a course or program if the minimum number of bookings is not reached. If such cancellation is necessary, a full refund will be offered to the parent.
Changes to Program:
- Warwick Schools Foundation reserves the right to make changes to the program of activities at any time for reasons deemed reasonable and appropriate.
Booking Changes:
- Once a booking has been confirmed, changes can only be made if availability allows and if staff/child ratios are maintained.
Cancellation and Refund Policy:
- Cancellations must be made within 14 days of the original booking to qualify for a refund/credit note. Cancellations within 2 working days of the booking will not qualify for a refund/credit note.
- Refunds/credit notes may be considered on medical grounds with a supporting doctor's note.
- All credit notes must be used within 12 months of issue.
Your Responsibility
It is the responsibility of the parent/guardian to advise us when booking of any disabilities/illnesses/social or behavioural problems that a child has, or has recently experienced, which might affect the child or other children attending.
The children are expected to have regard for their own and others safety and well-being and respect their own and other people’s property.
Warwick Schools Foundation accept no responsibility or liability for any personal possessions bought to the Sports Camp. Children must assume personal responsibility at all times, and we recommend not to bring valuable items.
Mobile Phones
We recognise that it is increasingly difficult to police the use of mobile phones by pupils, but the following rules apply on site at Warwick Schools Foundation:
• Mobile phones are permitted at Warwick Schools Foundation for children in School Years 6 and above
• Phones are bought onto site at the owner’s own risk and Warwick Schools Foundation does not take any responsibility for any loss or damage incurred.
• Use of phones is restricted to breaktimes and lunchtimes and only within the designated times which is monitored by staff. Phones should be kept safely in their bags during activity sessions and at all other times, including drop-off, registration, and pick-up.
• Pupils are not allowed to use their phones to:
o Access or post on any social media websites (Facebook, YouTube,
WhatsApp, Twitter, Instagram, Tik Tok, Snapchat, Reddit, Pinterest, etc) o View, take or share photos/videos - including content downloaded from
3rd party websites and social media o Make calls or send texts/messages. Any calls to parents must be made by Sports Camp Co-ordinator.
o Play music
o Access the school WIFI o Cause upset or distress to another pupil.
• If pupils are seen to be accessing inappropriate material or sites this will be immediately stopped and reported to management.
Children will not be permitted to wear jewellery when taking part in sporting activities.
Please do not bring any food containing nuts onto the site.
Please ensure that if needed, you complete the permission to administer medication/pre-existing injuries form located in the 'Medication forms' section, and kindly bring it with you on the day of the camp to submit to the Sports Camp Coordinator.
*** Additionally, we kindly request that all medical aids, including EpiPens and asthma pumps (even if they are not specifically used for asthma), be appropriately labelled and accompanied by medical forms. These items should be handed over to the Sports Camp Coordinator at the beginning of the camp for safekeeping. ***
Please note if sun cream is required, we ask that you provide this for your child and apply before coming to the course. If re-application is required children will be required to do this and members of staff will supervise.
Dietary Requirements and Food Allergies
Please inform us at the time of the booking if your child has any dietary requirements or food allergies. We request that all children and parents do not bring any food containing nuts on site. For more information on food allergies, and the 14 key allergens please see the Food Standard Agency's website. Please speak to a member of our team if you have any questions concerning what to pack in your child's lunch box.
All Course Participants Should Bring A Full Packed Lunch (No Fridge Available), Snacks, Drinks, And Suitable Clothing For The Weather & Sports Related Equipment.
Please check the camp you book is the correct age group for your child. We will contact you in the event of an incorrect booking but cannot guarantee availability on an alternative camp.
Photography
Please note that photographs and footage will be taken throughout the sports camps at Warwick Schools Foundation. These will be used by Warwick Schools Foundation for marketing and publicity in our publications, on our website and in social media. If you do not wish for your child to be photographed, please advise us in writing at the time of booking and/or fill out photo consent form that will be emailed prior to the booking.
Our Responsibility
-Warwick Schools Foundation Staff will do all that they can to make each child’s experience as safe and enjoyable as possible. If your child has a problem, please discuss it with the coaches and/or the Sports Camp Co-Ordinator.
-We do not tolerate bullying or prejudice and fully reserve the right to exclude any child if their behaviour is incompatible with the enjoyment and well-being of others.
-Health and safety is of paramount importance at all time at Warwick Schools Foundation and it is expected that those participating in activities must adhere to any regulations deemed necessary by Warwick Schools Foundation at all times.
-We have a Complaints Policy which we follow at Warwick Schools Foundation for the Sports Camps. This will be shared with participants via email prior to event, but if you would like a copy of it, please email sportscamps@warwickschools.co.uk and we'd be happy to share it with you.
Additional information
Names will be added to the course register once a booking form and payment has been completed.
Confirmation of your place will be sent via email. Please note : ClassForKids Refunds their 3.1% fee, however Stripe keeps their 1.5% fee. This covers the cost of processing the payment and the refund . These fees are absorbed within the booking price
